Privacy policy for the KotaDex apps for iOS and Android.

Introduction

Olivia Renee Studio LLC ("we," "our," or "us") makes KotaDex, a business toolkit for iPhone, iPad and Android. This Privacy Policy explains what information the app handles, what stays on your device, and the limited information that third-party services receive when you use the free, ad-supported version. It also covers our website, kotadex.com (see Our Websites). KotaDex has no account or sign-in, and we never see the content you scan or create.

Information Collection and Use

Camera

KotaDex uses the camera only when you choose to scan a business card, receipt, document, barcode or QR code, or a handwritten note or whiteboard. On Android, scanning uses the Google-provided scanner screens or the system camera. Images are processed on your device and are not sent to us.

Photos

You can import existing photos of cards, receipts, documents and barcodes. Only the photos you select are used. With your permission, KotaDex can also save the barcodes, social post images and videos you create to your photo library.

Contacts

When you choose to save a scanned business card to your phone's contacts, KotaDex passes that contact to your device's contacts app. On iOS the contact is written directly, including a card photo if one was detected; on Android the system Contacts editor opens pre-filled for you to confirm. Nothing is read from your contacts, and nothing is sent to us.

Text Recognition, Face Detection and Barcode Reading

Recognizing text on cards, receipts, documents and notes, detecting a face on a card to suggest a contact photo, and reading barcodes all happen on your device: Apple Vision on iOS, Google ML Kit on Android. Your images are not uploaded for processing. On Android, ML Kit may download its recognition models through Google Play services and may report anonymous usage and diagnostic information to Google, as described in Google's privacy policy.

Your Digital Business Card

If you create a digital business card, the name, title, company, phone number, email address and optional photo and logo you enter are stored on your device and encoded into your QR code. Anyone you show the code to, or share your card with, receives that information. Sharing is always something you start.

Book Lookup

When you look up a book by ISBN, the app sends that ISBN (and nothing else) to the Google Books API to fetch the title, author, publication date and cover image, and offers links to Wikipedia, Google Books, Amazon and Open Library that open in your browser. Those services' privacy policies apply to the requests you make to them.

Notifications

Follow-up reminders you schedule are local notifications created on your device. Android asks for permission to show notifications. No reminder content is sent to us.

Data Storage

Local Storage Only

  • Your contacts, tags, receipts, documents, notes, barcode history, generated barcodes, social posts, digital business card and reminders are stored only on your device.
  • We do not upload, transmit or store your content on our servers, and we have no way to access it.
  • Data you delete in the app is removed from your device. Exported files (CSV, PDF, images, videos) are yours and remain wherever you save or share them.
  • Uninstalling the app removes all of its data from the device.

Advertising and KotaDex Pro

Ads in the Free Version

The free version of KotaDex shows ads served by Google AdMob, including banner ads, occasional full-screen ads, and rewarded ads you can choose to watch to unlock an export. To serve and measure ads, Google receives information from your device such as an advertising identifier, IP address, approximate location inferred from the IP address, device and app information, and how you interact with ads. Google uses this information under Google's Privacy Policy; see also "How Google uses information from sites or apps that use our services." Ad data is processed by Google, which may transfer it to the United States and other countries.

Your Choices About Ads

  • iOS asks once whether KotaDex may track you for ads. Choose "Ask App Not to Track" to withhold the advertising identifier; you can change this at any time in iOS Settings → Privacy & Security → Tracking.
  • Android lets you delete or reset your advertising ID and opt out of ad personalization in Settings → Google → Ads.
  • Where consent is required (for example in the EU and UK), KotaDex shows a consent form before any ad is requested. You can review or withdraw your choices, including US state "do not sell or share" preferences, at any time in KotaDex Settings → Privacy Options.
  • KotaDex Pro removes all ads and export gates.

Subscriptions

KotaDex Pro is a subscription sold through Apple's App Store on iOS and Google Play on Android. Apple or Google processes your payment; we never receive or store payment card details. The app checks your subscription status with Apple or Google to unlock Pro features. Manage or cancel the subscription in your App Store or Google Play account settings.

Data Sharing

  • We do not sell your information, and we do not share your scanned or created content with anyone.
  • The only third parties that receive information from the app are those named in this policy: Google (AdMob advertising, consent management, Play Billing and, on Android, Play services and ML Kit), Apple (App Store purchases), and the Google Books API when you use Book Lookup.
  • The apps use no analytics or crash-reporting service of our own. Our website, kotadex.com, uses Cloudflare Web Analytics as described in Our Websites.

Our Websites

The KotaDex website (kotadex.com), including its tutorial, is a static site hosted by Cloudflare. Like any web host, Cloudflare processes technical data about each request, including your IP address, the page requested and your browser's user agent, to deliver the site and protect it from abuse. We rely on our legitimate interest in running a secure, working website, and Cloudflare acts on our behalf under its Data Processing Addendum (privacy policy). The site sets no cookies.

Analytics. To see which pages are read, how people find the site and how quickly pages load, kotadex.com uses Cloudflare Web Analytics. When it runs, a small Cloudflare script reports the page you visited (without any query string), the site that linked you there and page-load timings, and Cloudflare works out your country, device type and browser from the request. It sets no cookies, stores nothing in your browser, does not fingerprint your device and does not follow you across websites or over time. We only ever see totals.

  • In the European Union, Iceland, Liechtenstein, Norway, the United Kingdom and Switzerland, it runs only if you choose Allow in the banner. If you decline, or don't choose, the script never loads. Our legal basis is your consent (GDPR Art. 6(1)(a), and the rules on reading information from your device, such as § 25 TDDDG in Germany).
  • Everywhere else, it runs by default, based on our legitimate interest in understanding and improving the site, and you can switch it off.

To decide which applies, the site asks our server whether your request comes from one of those regions. The answer is based on the country Cloudflare already determines from your IP address, and nothing about it is stored. If your location can't be determined, we ask for consent. You can change your choice at any time with Privacy Choices at the bottom of every kotadex.com page; withdrawing consent doesn't affect statistics collected before you withdrew it. Cloudflare keeps detailed analytics data for 7 days; after that only a reduced sample of about 10% is kept, and our dashboard shows at most the last six months.

Browser storage. The site remembers your analytics choice for about six months (analytics-consent), and its tutorial remembers your language and iOS/Android choices (tutorial-language, tutorial-platform). All three stay in your browser's local storage on your device and are not used for tracking.

Store buttons. The App Store and Google Play buttons carry a campaign label (such as ct=web_hero) that tells us which button was used; it doesn't identify you. Apple's or Google's own privacy policies apply once you are in their store.

Cloudflare transfers personal data from the EEA, the UK and Switzerland under the EU-U.S. Data Privacy Framework, its UK extension and the Swiss-U.S. Data Privacy Framework, with standard contractual clauses as the fallback. A content blocker also stops the analytics script without affecting the site.

The page you are reading is on oliviarenee.app, our studio site, which is served from a DigitalOcean server behind Cloudflare. Unlike the apps, oliviarenee.app uses Google Analytics — but only after you accept it in the cookie banner. If you decline, or have not yet chosen, no analytics cookie is set. What is stored and how to change your choice are set out in our Cookie Policy. Its hosting providers see your IP address and standard request data when a page is served, and its fonts are served from oliviarenee.app itself.

Data Security

Your data is protected by your device's built-in security: the app's data is inside the app's private storage, covered by device encryption and your device passcode, Face ID, Touch ID or fingerprint. We recommend keeping a device lock enabled. Because we do not hold your data, we cannot restore it; back up your device to keep a copy.

Children's Privacy

KotaDex is not directed to children under 13, and we do not knowingly collect information from children under 13. Ads in KotaDex are not configured for child-directed treatment.

Your Rights and Choices

Control in the App

  • Delete any contact, receipt, document, note or barcode scan individually.
  • Delete all contacts at once from Settings (Database → Delete All on iOS; Clear Database on Android), and edit or clear your digital business card in Settings → Digital Business Card.
  • Change your ad consent choices in Settings → Privacy Options (shown where consent rules apply).
  • Revoke camera, photo, contact and notification permissions in iOS Settings, or the notification permission in Android app settings (on Android, scanning, photo import and contact saving run through system screens and need no standing permission).
  • Uninstalling the app removes all of its data from your device.

Regional Rights

If you live in the European Economic Area, the United Kingdom, Switzerland, California or another region with privacy laws, you may have rights to access, correct, delete or restrict the use of your personal information, and to object to or opt out of its sale, sharing or use for targeted advertising. Because KotaDex keeps your content only on your device, you exercise these rights directly through the controls above. Requests about advertising data are handled by Google through the choices described in "Your Choices About Ads" and Google's privacy policy. You can also contact us with any request or question. On kotadex.com, you can give, change or withdraw your analytics choice at any time with Privacy Choices at the bottom of every page. You may also complain to your local data-protection authority.

Changes to This Policy

We may update this Privacy Policy from time to time. Changes are reflected by updating the "Last Updated" date at the top of this policy, and material changes will be noted in the app's release notes.
